A plain-language walkthrough of how guest coach claiming works in the Fred Astaire regional network — the rotating queue, ranked preferences, and the fair, transparent process behind every booking.

Guest coaches used to be first-come-first-served — whoever replied fastest got the slot. Now, every studio has a spot in a rotating queue, and claiming is decided fairly by queue position and preference, not by who's fastest.

Every studio holds a position in the regional queue. The better your position, the higher priority you get when a coach is posted. Win a date, and you rotate to the back of the line — so studios who haven't recently won naturally move up over time.

When a coach is confirmed, it goes up with its available dates. You submit a ranked list of which specific dates you want (you're never assumed to want a date you didn't pick). After the claim window closes, the system resolves it: the highest-ranked studio among everyone interested gets their own top choice, then rotates to the back; the next-highest-ranked studio gets their pick from what's left, and so on.

Any date nobody requested becomes instantly claimable by any studio, first-come, with no effect on your queue position — since there was no real competition for it.

Every open date has a real deadline to be claimed — a set number of days before the actual coaching date (so there's enough lead time for travel/logistics). You'll see a countdown once that deadline is approaching, and a reminder email goes out a few days before it closes.

If a coach cancels, the studio that had it gets its queue position restored automatically — no penalty for something outside your control. If a replacement coach fills the date, the original studio gets first choice: Swap (take the replacement, no rank change) or Drop (give it up, get your position back).

If you've won a date but can't use it, you can release it. It becomes instantly claimable by any studio. If more than one studio wants it, it's decided by queue rank (with the normal cost to whoever wins). If nobody claims it within the window, it stays with you — you're still responsible for it, but it stays marked as available for anyone to grab later.

After hosting a coach, you can leave a quick 1–5 star rating. Every studio can see each coach's average rating, which helps everyone decide who to prioritize.

Don't see a coach you want? Add them to the wishlist — pick from the roster or type in someone new — so the Regional Office can see which coaches studios actually want brought in.
